Write down what you can verify

Treat permissions as separate decisions
Ask about taking a photograph, publishing it and using it to promote a commercial service as different matters. Follow the club’s safeguarding arrangements for young participants and respect anyone who declines. Do not pair an identifiable child’s image with private family circumstances. Keep contact details outside the public notebook. A useful cultural record does not require documenting every person who happens to be present.
Turn notes into useful context
A short caption can identify the activity, place and person, then explain one point you learned. Link to the club’s own information for current visit arrangements rather than presenting your experience as a permanent timetable. Credit the photographer and any translator. Keep accommodation or transport purchases separate from club support. This produces a respectful record of a living practice and gives future visitors a clearer starting point than a collection of unexplained action shots.
